SYSPRO Workflow Administrator

You use this program to design, manage and deploy workflows to the enterprise.

This program consists of the following features that will assist you in designing and managing your workflows:

  • Workflow Library - design and maintain your workflows

  • Workflow Samples - build a workflow using a set of sample workflow controls

  • Workflow Manager - view and manage deployed workflows

  • Workflow Monitor - monitor your business processes.

Notes and warnings

Operator considerations

  • Operators must belong to an administrator operator group to access this program.

Adding a workflow

  1. Open the SYSPRO Workflow Administrator program (SYSPRO menu > SYSPRO Workflow Services > SYSPRO Workflow Administrator).

  2. Select Workflow Library from the View menu.

  3. Right-click on the Workflows folder and select (Add > New Workflow) from the shortcut menu.

  4. Enter the required workflow details.

    • The workflow description is used during tracking and monitoring to further describe the workflow.

    • The KeyID description describes the KeyID variable of the workflow in relation to SYSPRO.

  5. Create the workflow.

    The new workflow is opened in the Workflow Designer, ready to be created.

Adding role permissions against a workflow

The following steps describe how to apply role access to specific operations within a workflow.

  1. Open the Workflow Administrator program (SYSPRO menu > SYSPRO Workflow Services > Workflow Administrator).

  2. Open the Workflow Library.

  3. Select the workflow you want to secure.

    1. Right-click on the workflow.

    2. Select Maintain Version.

  4. Secure the required operations.

    1. Move your mouse over the lock icon of the operation against which you want to add permissions.

      A list of roles is displayed.

    2. Enable the Allowed option against the roles that are able to access this operation.

      [Note]

      You can right-click on the list of roles and select Allow all or Secure all to apply permissions against all the roles at once.

  5. Save your changes.

Changing a workflow

  1. Open the Workflow Administrator program (SYSPRO menu > SYSPRO Workflow Services > Workflow Administrator).

  2. Select Workflow Library from the View menu.

  3. Right-click on the workflow and select Maintain Workflow from the shortcut menu.

  4. Make the required changes.

  5. Save your changes.

Copying a workflow

  1. Open the Workflow Administrator program (SYSPRO menu > SYSPRO Workflow Services > Workflow Administrator).

  2. Select Workflow Library from the View menu.

  3. Right-click on the workflow you want to copy and select Copy Workflow from the shortcut menu.

  4. Enter the details of the workflow you want to copy.

  5. Copy the workflow.

    The workflow is displayed in the Workflow Library area, and opened in the Workflow Designer, if required.

Deleting a workflow

  1. Open the Workflow Administrator program (SYSPRO menu > SYSPRO Workflow Services > Workflow Administrator).

  2. Select Workflow Library from the View menu.

  3. Right-click on the workflow you want to delete and select Delete Workflow from the shortcut menu.

Deploying a workflow

  1. Open the SYSPRO Administrator Workflow program (SYSPRO menu > SYSPRO Workflow Services > SYSPRO Workflow Administrator).

  2. Right-click on the workflow you want to deploy and select Deploy Workflow from the shortcut menu.
