Sales Target Reports

You use this program to generate Performance and Achievement target reports in various sequences.

A Performance report reflects the percentage variance between the expected targets and the actual. An Achievement report reflects what percentage of the target has been achieved.

The reports compare your actual sales and profit figures in relation to the projected targets that were defined.

Report Options

Field Description
Targets

Indicate whether to print customer or product class targets.

Customer

If you select to print Customer targets, then at the Primary sequence field you can select whether the report is to be generated in Customer or Salesperson sequence. However, you cannot specify a Secondary sequence.

Product class

If you select to print Product class targets, then at the Primary sequence field you can specify whether the report is to be generated in Product class or Department sequence.

Performance

A performance report reflects the percentage variance between the expected targets and the actual.

This is obtained as follows:

(Actual - Target) / Target * 100 = Performance %

Example:

Where the Target is 469328 and the Actual is 227287, the Performance Percentage calculates to 51,5% minus. This means you are still short 51.5% of your Target. You have only achieved 48.5%.

Achievement

An achievement report reflects what percentage of the target has been achieved.

This is obtained as follows:

Actual / Target * 100 = Achievement %

Example:

Where the Target is 469328 and the Actual is 227287, the Achievement Percentage calculates to 48,5%. This means you have only achieved 48.5% of your Target. You are still short 51.5%.

Primary sequence

Indicate the order in which you would like to generate the report.

The options available depend on whether you selected to print Customer targets or Product Class targets.

If you selected to print Customer targets, then you can select whether the report is to be generated in Customer or Salesperson sequence.

If you selected to print Product class targets, then you can specify whether the report is to be generated in Product class or Department sequence.

Secondary sequence

The secondary sequence is the order within the Primary sequence in which you want to generate the report.

In order for the results to be significant, the Detail report type should be selected.

If you select to print Customer targets, then you cannot specify a Secondary sequence.

If you select to print Product class targets, then you can specify whether the report is to be printed in Branch or Product class sequence.

For example:

When printing Product class targets, if the Primary sequence is Product class and the Secondary sequence is the Branch, then the sales targets for each Product class within each Branch are displayed.

Report type

The report type is applicable to Product Class targets and Customer by Salesperson reports.

Summary

Select this to exclude detail information from the report.

Only totals by Product Class are printed.

Detail

Select this to print the detail information as well as totals on the report.

You must select the Detail type if you selected a Secondary sequence.

Zero values

Indicate how you want the program to deal with zero balances.

Exclude

Select this to exclude (ignore) all the data where zero values are held against them.

Include

Select this to include (print) all the relevant data, regardless of whether zero values are held against them.

Only

Select this to only print the data where zero values are held against them and ignore any other data.

Print profits

The report defaults to printing the actual Sales and Gross Profit figures attained in relation to the projected profit targets that were defined.

If this option is deselected, then only the Sales figures attained in relation to the projected targets are printed.

Descending sales value

If you select this option, then you can print the actual or target month-to-date and year-to-date sales figures in descending sales value sequence.

You indicate which value you want to print in descending order in the Sales value to use field.

Sales value to use

This applies if you selected the Descending sales value option.

You can select one of the following:

  • Actual MTD
  • Actual YTD
  • Target MTD
  • Target YTD
Subtotals required

This option is selected by default, but can be deselected if subtotals are not required.

You can only select this option if you did not select the Descending sales value option.

If Subtotals are selected, then the report sequence determines the different breaks. Each key area of the selected summary type in turn, defines these.

If the summary type has only one key area, then no subtotals are printed.

If the summary type has two key areas, then only one subtotal prints.

If the summary type has three key areas, then two subtotals are printed.

New page on change

Select this to start a new page after printing a subtotal.

This option applies only if Subtotals required is selected.

It is not relevant for summary types that have only one key area.

If a summary type has two key areas, then the 2nd key area is defined as being the detail part. This means that when the 1st key changes, the program prints a subtotal, and then starts a new page.

If a summary type has three key areas, then the 3rd key area is defined as being the detail part. This means that the 2nd key area is taken as the first subtotal and the 1st key area is taken as the second subtotal. When these two keys change - the program prints a subtotal, then starts a new page.

Branch to use for names

Indicate the AR branch to use for the description of the salesperson or product class.

The printed sales values are the same regardless of the branch indicated.

This applies if the target you select to print includes either the Salesperson or Product Class as part of the key, but excludes the Branch.

The Salesperson and Product Class tables are linked to the Branch table. Once a branch code is entered, the program is able to extract the relevant descriptions and/or names.

When printing the report and no description is found, the report displays - Not on File. In most cases a Salesperson or Product Class is only created against one relevant Branch. Therefore in order to obtain a description against each Salesperson and each Product Class, it is recommended that you create a dummy branch with all the relevant descriptions. This would be used for printing purposes only.

Field Description
Branch selection Indicate the Accounts Receivable branch(es) for which you want to generate the report.
Salesperson selection Indicate the salesperson(s) for which you want to generate the report.
Customer selection Indicate the customer(s) for which you want to generate the report.
Geographic area selection Indicate the geographic area(s) for which you want to generate the report.
Customer class selection Indicate the customer class(es) for which you want to generate the report.
Product class selection Indicate the product class(es) for which you want to generate the report.
Department selection Indicate the department(s) for which you want to generate the report.

Output Options

These options enable you to apply a theme to the report and to define multiple output destinations for the report once it has been compiled (SRS Output Options).
