Archive Maintenance

You use this program to update information for archived files (e.g. if you move the file to a new location).

Functions

Field Description
Change Select this to amend the highlighted archive file. You can optionally change the file name/location of the highlighted archived file, specify whether the file is stored offline, and enter a comment.
Delete Select this to delete the highlighted archive from the file.

Regardless of whether you select multiple or all archives, only the first archive in the selection is deleted. The Select All function is used to change the file path of all archived files.

Include Select this to indicate the types of archived files you want to display in the listview.
Include 
Sales orderSelect this to indicate that you want to include archived sales order in the list of archived files displayed.
Sales order invoiceSelect this to indicate that you want to include archived sales order invoices in the list of archived files displayed.
WIP jobSelect this to indicate that you want to include archived jobs in the list of archived files displayed.
BOM structure & routingSelect this to indicate that you want to include archived structures and routings in the list of archived files displayed.
Select AllSelect this to highlight all the archived files
Deselect AllSelect this to deselect all archived files from being displayed in the listview.

By default, all file types are selected for display in the listview. You would typically select this option to deselect all file types and then select one or two file types to display in the listview.

OKSelect this to return to the listview and only display your selections.
CancelSelect this to ignore any changes you made and to return to the listview.
Archive Details Select this to view details stored against the highlighted archive file.
Select All Select this to highlight all the archived files that are listed. This function is used to change the file path of all archived files.
Change File Path Select this to change the directory for each archive file highlighted using the Select All function.

This does not change the name of the file, only the path to the file name.

Although a warning message is displayed if you specify a path name that does not exist, the path is created and each of the files you highlighted is assigned to this path.

File Path 
File pathIndicate the full path name for the archived file.
SaveSelect this to apply the new file path.
CloseSelect this to ignore any changes you made and to return to the listview.

Listview columns

Details of files currently archived are displayed in this listview.

Column Description
Archive type This indicates the type of archive file (e.g. sales order, job, structure & routing).
Archive number This indicates the archive number.
Date of archive This indicates the date on which the file was archived.
Operator This indicates the operator who archived the file.
Archive file name This indicates the location and the name of the archive file.
Comment This indicates descriptive text assigned to the archive file.

Archive Maintenance

This screen is displayed when you select the Change Archive function.

Archive details  
Type This indicates the type of archive file (e.g. sales order, job, structure & routing).
Number This indicates the archive number.
Date This indicates the date on which the file was archived.
File name

Optionally indicate the new location and/or the new name of the archive file.

SYSPRO creates archive files according to the format: Xyynnnnn.XML where:

  • X indicates the company id
  • yy indicates the type of archive (e.g. SO - sales orders, JB - jobs, BO - bill of materials)
  • nnnnn indicates the archive number.

Because a new archive file is generated each time you run a purge function (i.e. files are not appended to existing ones) you can rename an archive file without compromising data.

File stored offline Indicate that the archive file is stored off-line (e.g. CD or tape drive). This enables the system to prompt for the archive file if an operator attempts to access a record that is stored off-line.
Comment Enter any descriptive notes you want to assign to the archive file.
Save Select this to save the changes you made.
Close Select this to return to the previous screen.
