The Sales Analysis module is the focal point for the accumulation of sales data generated from other modules. Sales history can be accumulated in a wide variety of user-defined formats such as: salesperson, product class, customer, warehouse, geographic area, customer class, stock code, order type and branch. Information can be displayed in bar charts or reports. Various targets can be entered based on user-defined groupings.
This task outlines the procedures you should follow to set up your Sales Analysis module.
Some of these steps are optional and depend on how you intend implementing this module.
Sales Analysis Setup
Define the Configuration and History setup options you require for Sales Analysis.
Enable the Retain summary sales history option to generate summary keys (Sales Analysis Setup ) and ensure that you indicate which sales history key fields are required, as they determine what information is stored in the sales history tables.
In addition, the number of years/months you require information to be retained determines the length of time that information is available for reporting purposes.
Ensure that all the sales history key fields required for processing in Sales Analysis are defined (e.g AR branches, Geographic areas, Product classes, Salespersons, etc).
If you are using the EU VAT system, then use the Intrastat Transaction Nature, Intrastat Delivery Terms and Intrastat Supplementary Units programs to indicate the Intrastat codes required.
Intrastat is the name given to the method of collecting information and producing statistics on the export and import of goods between the countries of the Member States of the European Union (EU).
Use the Sales Analysis Summary Setup program to configure how you want to store summary sales history information.
Use the Recreate Sales History program to rebuild your sales history summary file.
Use the Sales Target Maintenance program to define the projected sales and profit targets against Customers, Product Classes and user-defined Sales History Summary Types.
This is required if you intend printing performance and achievement reports to compare the actual sales and profit figures retained in relation to these projected targets.
A formal sequence of processing steps cannot be prescribed for the Sales Analysis module. The following is therefore an outline of the sequence of steps you could follow:
Ensure that your sales are processed for the month, week or day that you want to analyse.
Optionally use the Lost Sales Import program to import any lost sales for the period under analysis.
Alternatively, use Lost Sales Review the program to record lost sales.
Run the Update function of the Sales Analysis Update program.
Use the Sales Transactions Maintenance program to selectively correct rejected transactions indicated on the report produced by the Sales Analysis Update program. The sales analysis files cannot be updated until the transaction details for each transaction are valid.
Use the Maintain Intrastat Dispatches program to maintain entries in the S/A EC VAT file. This only applies if you are using the EC VAT system.
Rerun the Update function of the Sales Analysis Update program if you needed to correct errors.
Generate the required Sales Target reports.
Generate the required Sales Analysis reports.
Use the Sales Analysis Update program to reset the period-to-date sales values to zero and reflect any outstanding sales transactions in the new period.
Use the Sales Analysis Update program to delete information that is no longer required within the Sales Analysis module.
There is no month end function in the Sales Analysis module. The process of rolling the month is performed as part of the Month end function of the Accounts Receivable module.
