Lot Traceability > Lot Traceability Up and Down Query

Lot Traceability Up and Down Query

You use this program to trace a lot upstream to its immediate source and downstream to its immediate destination (e.g. to trace a component lot to its immediate parent lot in Work in Progress).

The downstream query is useful in tracing a lot which you need to recall while the upstream query can be used to trace the source of a faulty component.

Lot Traceability Upstream and Downstream Query

Field Description
Stock code Enter the valid lot traceable stock code you want to query. This field is mandatory.
Serial Number Enter the serial number to trace. This only applies if the Stock code is serialized (Stock Codes).
Lot Number Enter the lot number to trace.

If you browse on the lot number and select a lot from the Browse on Lots listview, then any other applicable fields on the toolbar are automatically populated for you (e.g. Warehouse and Bin).

Warehouse Enter the warehouse code into which the lot was receipted.

If you browsed on the Lot Number and selected a lot from the listview, then the warehouse is automatically entered for you.

Bin Enter the bin number that the lot was receipted into.

This only applies if you are using multiple bins (Inventory Setup).

If you browsed on the Lot Numberand selected a lot from the listview, then the bin is automatically entered for you.

Go Select this to display the results of the query according to the information entered.

Parent Details

The information displayed in this pane relates to the stock code entered on the toolbar.

[Note]

Although the stock code doesn't need to be a made-in parent item (i.e. it can be a bought-out item or a component) the parent needs to be traceable for tracking to work.

Serial Number Information

This displays information related to the serial number of the stock item and is only displayed when you enter a valid serial number in the toolbar.

Upstream Tracking

The Upstream tracking treeview displays information on the immediate source that the stock code lot came from. Sources include jobs, purchase orders, and inventory movements (e.g. receipts, adjustments, transfers between warehouses, etc). Information is only displayed for modules that are installed. For example, if Work in Progress is not installed then no information for jobs is displayed.

Note that when the Stock code/Lot Number is a bought out item, then no Inventory movements are displayed except for warehouse transfers. In this case, only the warehouse details are displayed.

Similarly, if the Stock code/Lot Number was receipted using the Inventory Movements program, then only the warehouse transfer details are displayed as no purchasing details can be tracked.

The treeview needs to be expanded to view the details.

Downstream Tracking

The Downstream Tracking treeview displays information on the immediate destination for the stock code lot. Destinations include jobs, sales orders and inventory movements (e.g. receipts, adjustments, transfers, etc). Information is only displayed for modules that are installed (e.g. if Work in Progress is not installed then no information for jobs is displayed). The treeview needs to be expanded to view the details.

[Note]

Lot items issued to WIP jobs (Kit or Specific issues) are only included in the downstream tracking once you've posted the job receipt. If you've only issued items to the job (but the job hasn't yet been received) then these job issues won't be included in the Downstream Tracking pane.

Notes and warnings

Restrictions and limits

  • This program doesn't use the lot tracking tables and therefore only tracks a single level in either direction (upstream or downstream).

You can use the Component to Parent Lot Tracking Query program and enter the component lot to track the lot all the way to the top level parent lot.

  • The stock item/lot must be invoiced for downstream customer information to be displayed.

  • Purchase orders must be received into stock (not only into inspection) for upstream purchase order information to be displayed.

  • If you selected the option: Use same lot on multiple stock codes (Lot Traceability Setup) then information for all customers for the selected stock item/lot is displayed in the query.
