Track Component Lots and Serials to Parent

You use this program to link the lot and serial numbers of component parts to a parent part.

This enables you to later track the serial numbers of the components used to produce the serialized parent part and to trace the component lot numbers used to produce a particular parent lot.

Populate quantity tracked with
Option Description
Available quantity Select this to be able to edit the Qty available in the Lot Tracking listview.
Required quantity Select this to be able to edit the Qty tracked in the Lot Tracking listview.
Zero Select this to set the Qty tracked to zero and to be able to edit the Qty tracked in the Lot Tracking listview.

Parent Details

Information about the parent item for the job are displayed in this pane.

Column Description
Traceable This is enabled when the parent item is defined as lot traceable Stock Codes.
Serialized This is enabled when the parent item is defined as serialized (Stock Codes).

Lot Tracking

You use this pane to link the lot traceable components issued to the job to the lot traceable parent part.

Column Description
Parent item The information in this column is displayed in a treeview.

The root entry indicates the lot number for the parent item, which will have been allocated when you created the job.

The child entries display the components and lots from which the components were issued to the job to create the parent part.
Description For the parent item, this displays the warehouse, parent quantity receipted and the receipt date.

For the components, this displays their description.

Details For component lines, this displays the following:
  • Allocation line number

  • Quantity required - the unit quantity of the component required for the parent item.

  • Quantity issued - the unit quantity of the component issued to the job to make the parent item.

Stock code This indicates the stock code for the component items.
Lot This indicates the lot number from which the component was issued to the job.
Bin This indicates the bin number from which the component was issued to the job and only applies when the Multiple bins option is enabled (Inventory Setup).
Warehouse This indicates the warehouse from which the component was issued to the job.
Qty available

This indicates the quantity of components for which lot numbers must be linked to the parent item.

When part of the quantity has already been tracked, the Qty available represents the quantity outstanding to track for the lots. This quantity can be applied using the Auto populate options providing a quantity has already been tracked against the lot.

Qty tracked Indicate the quantity of the component (from the component lot) to attach to the parent lot. The quantity cannot exceed the quantity issued from the lot when the job was created.

This defaults to:

  • the quantity required for tracking when Populate quantity tracked with is set to Required quantity (Options).

  • the quantity available for tracking when Populate quantity tracked with is set to Available quantity (Options)

  • zero when Populate quantity tracked with is set to Zero (Options)

Issue date This indicates the date on which the component lot was linked to the parent lot.

Serial Tracking

You use this pane to link serialized components issued to the job to the serialized parent part.

Column Description
Parent item The information in this column is displayed in a treeview.

The root entry indicates the Job number, parent stock code and parent serial number.

The child entries display the serials and components issued to the job to create the parent part.
Description For the parent item, this displays the parent warehouse, quantity receipted and receipt date.

For the components, this displays their description.

Details For component lines, this displays the following:
  • Allocation line number

  • Quantity required - the unit quantity of the component required for the parent item.

  • Quantity issued - the unit quantity of the component issued to the job to make the parent item.

Stock code This indicates the stock code for the component items.
Serial This indicates the serial number from which the component was issued to the job.
Warehouse This indicates the warehouse from which the component was issued to the job.
Qty available This indicates the quantity of components for which serial numbers must be linked to the parent item.

A Qty available displayed with decimals indicates a batch serial (e,g, 10.00000). For a manual serial, the Qty available is displayed as 1 (without decimals).

Notes and warnings

Program access

  • This program is only available if the Require component to parent lot tracking and/or Require component to parent serial tracking setup options are enabled (Work in Progress Setup) and you receipt (or accept into stock after inspection) a lot tracable/serialised job.

  • This program is called from the following programs:

    • Browse on Jobs when you select the Maintain Tracked Lots or Maintain Tracked Serials options form the Edit menu.

    • WIP Job Receipts Import when importing a job receipt for a serialised or lot traceable job.

    • Part Billings when you part bill a lot traceable non-stocked job

    • WIP Co-Product Maintenance when you select Maintain Tracked Lots or Maintain Tracked Serials option from the Edit menu.

    • WIP Query when you select Tracking in the Additional Information pane to view Lot tracking or Serial tracking

    • WIP Inspection when posting items from inspection into stock if the option: Capture serials at end of WIP inspection and/or Capture lots at end of WIP inspection is enabled (Work in Progress Setup) and the components and the parent part are defined as serialized and/or lot traceable (Stock Codes).

    • Job Receipts when posting a job receipt if the option: Capture serials at end of WIP inspection and/or Capture lots at end of WIP inspection is enabled (Work in Progress Setup) and the components and the parent part are defined as serialized and/or lot traceable (Stock Codes).

Restrictions and limits

  • You cannot track, or make changes to the tracked quantity when this program is accessed from the WIP Query program.

Tracking partial receipts

  • The following apply when partial job receipts are tracked:

    • if the same lot or batch serial is issued more than once, then the lot or serial is consolidated in the tracking listview, so the full issue quantity of the component lot or serial can be tracked.

    • if multiple bins are in use, then the consolidation is performed against the lot/bin combination.

    • if a different lot or batch serial is issued/used for a component after tracking has occurred, then you can track the new lot or serial issued to the receipt.

    • the Auto populate options only apply to rows in which tracking has not already occurred.

    • a tracked lot or batch serial can be identified by looking at the issue date column.

Deletion considerations

  • The tracked record against the component is deleted when you highlight a line in the Lot Tracking listview, press the Delete key and Save. The line is redisplayed in the listview when the program reloads, but the Qty tracked cannot be edited and the Issue date is blank (because it is no longer trackable).

Fix incorrect links

  • To fix incorrect linkages, you need to delete all current component to parent linkages and select Save. Once no tracked records exists for the parent serial/lot, the tacking information is reloaded and all serials previously issued are available to relink.

Lot display considerations

  • Lot information is displayed when all of the following conditions apply:

    • The Component to parent lot tracking option is enabled (Work in Progress Setup).

    • The components and parent part are defined as lot traceable (Stock Codes).

    • The components have been issued to the job.

Serial display considerations

  • Serial information is displayed when all of the following conditions apply:

    • The Component to parent serial tracking setup option is enabled (Work in Progress Setup).

    • The components and parent part are defined as serialized (Stock Codes).

    • The components have been issued to the job.

Activity considerations

Operator access to the following activities within this program can be restricted. You configure this using the Operators program.

Activity Description
WIP Lots and serials tracking override Controls whether an operator can bypass the tracking of lots/serials or can only partially track lots/serials when using the WIP Track Lots and Serials program.

The operator must track the entire quantity for lots/serials issued when this activity is denied.
