WIP Link Job to Sales Order

You use this program to link a job to a sales order after the order has been created.

This is typically used when you begin production before receiving a formal order from the customer, or if you already have existing jobs for the same stock code that can be used to fulfil the order.

Select to link or de-link a job from the sales order.

Sales Order

Select the sales order to which you want to link or de-link a job.

Sales Order Line

Select the sales order line number to which you want to link or de-link a job.

Link

Link the currently selected job to the sales order.

You can link a job for a non ECC controlled item with a revision and release to a sales order for the same item. The revision/release for non ECC controlled items will be ignored in the linking conditions.

De-link

De-link the selected job from the sales order.

Update job qty

Match the job quantity with the sales order quantity.

This will also change the quantities of the job and labour and material allocations for unconfirmed jobs only.

Update job description

Update the job description with the description from the selected stock code.

Warning/Message

Warning messages will be displayed in this column.

Warnings are displayed if:

  • the sales order line ship date is before the job delivery date

  • the job is partially receipted

  • a customer is already defined against the job

WIP Job Linking

The jobs available for linking to a sales order are displayed in this pane. Jobs which have already been linked to a sales order will follow and will be disabled.

You can link more than one job to a single sales order line.

For example, if you have a sales order line with a back order quantity of 2, and you have two jobs, each one for a quantity of one, then you can link both these jobs to the single sales order line. After linking the jobs to the sales order line however, you will not see the link in the S/O Line Information pane in Sales Order Query as there is more than one job number linked to the line. However, all the jobs are displayed when you right-click on the sales order line in the Detail Lines pane of the Sales Order Query and select the Job option. The Supply message field in the Order Header pane within the Sales Order Query indicates whether a job, purchase order or SCT is attached to the Sales order. The WIP Query displays the Sales order for the job in the Additional Information pane.

Details

The Sales Order Details and Job Details panes allow you to view and query the sales order, or the job by selecting the relevant hyperlinks.

You can also view the changes in quantity and description if you have used the Update job qty and Update job description options against the line. These changes are available as soon as you select Save.

Notes and warnings

Restrictions and limits

  • The following conditions must be adhered to successfully link or de-link a job from a sales order:

    • the operator must have access to the warehouse/job classification

    • the sales order lines and job must be stocked

    • the job cannot be a sub job, hierarchical or complete

    • the stock code, revision, release and warehouse on the sales order line must be the same as the job

    • the sales order must have a positive quantity on back order

    • the job quantity to make can be changed in line with the sales order backorder quantity, provided the job is unconfirmed

    • the sales order cannot be in a status of 0 (i.e. order in process), 9 (i.e. complete), * (i.e. cancelled before entry completed) or \ (i.e. cancelled before invoicing)

    • the sales order type must be 'order'

    • if the sales order unit of measure is not stocking, the business object converts the back order quantity to stocking before comparing with the job outstanding quantity

  • Sub jobs are not changed when changing the customer for a master job.

    For example, if you change the link from a sales order for Customer 1 to another sales order for Customer 2, then the master job link is updated to Customer 2, but its sub jobs remain linked to Customer 1.

Electronic Signatures provide security access, transaction logging and event triggering. This enables you to increase control over your system changes.

Access to the following eSignature transactions within this program can be restricted at Operator, Group, Role or Company level. You configure this using the eSignature Setup program.
