Allocated Invoice Number Query

You use this program to view details of existing Accounts Receivable invoice numbers and to track invoice numbers which were allocated, but not yet created.

Toolbar and menu

Field Description
Start Review Displays the information for the selected invoices in the Allocated Invoice Numbers pane.
Change Criteria Allows you to indicate different criteria according to which to display the invoice number information.

Allocated Invoice Number Criteria

Field Description
Invoices  
Invoice selection Indicate the invoice number(s) to include.
Document types  
Document type selection Indicate the document type(s) to include.
Customers  
Customer selection Indicate the customer(s) for which to include invoices.
Sales orders  
Order selection Indicate the sales order(s) for which to include invoices.
Dispatch notes  
Dispatch note selection Indicate the dispatch note(s) for which to include invoices.
Allocated dates  
Allocated date selection Indicate the invoice allocation date(s) for which to include invoices.
Created dates  
Created date selection Indicate the invoice creation date(s) for which to include invoices.
Operator when invoice was created  
Created operator selection Include invoices according to the operator(s) who created the invoice.
Operator when invoice no was allocated  
Allocated operator selection Include invoices according to the operator(s) who allocated the invoice.
Invoice created  
Invoice created selection It is possible for an invoice number to be allocated and created at different times.

For example: If you enabled the Order number moved to invoice number option (Sales Orders Setup) then the invoice number is allocated when you create the order, but is only actually created when you generate the invoice.

Alternatively, you can release a number of orders for invoicing and then use the Document Print program to print the invoices in batch mode. In this case, the invoice numbers are allocated on release, but only created when you print the invoices.

Allocated Invoice Numbers

Column Description
Customer invoice Indicates the sales invoice number.
Document type

Indicates the code of the document created:

  • I - Invoice
  • C - Credit note
  • D - Debit note
Customer Indicates the code of the customer for which the invoice number was allocated/created.
Invoice date Indicates the date on which the invoice number was created.
Sales order Indicates the sales order number for which the invoice number was allocated/created.
Dispatch note Indicates the dispatch note number for which the invoice was allocated/created.
Allocated by program Indicates the code of the program used to allocate the invoice number.
Allocated date Indicates the date on which the invoice number was allocated.

Notes and warnings

Numbering considerations

  • The query uses the ARInvoiceReference table of existing invoice numbers allocated and used to retrieve the information displayed. No entries are written to this table when the Same invoice for different customers option is enabled (Set Key Information).

  • Invoice numbers may be removed from the ARInvoiceReference table when running the Purge function of the Order Purge program and enabling the Purge invoice index option.

  • The Allocated date, Allocated time, Created date and Created time columns are set to zero if the invoice was allocated prior to conversion to SYSPRO 6.1 or the Same invoice for different customers option (Set Key Information) was changed from enabled to disabled (which rebuilds the ARInvoiceReference table.

  • The Allocated by operator and Created by operator columns displays SETUP if the Same invoice for different customers option was changed from enabled to disabled.

    CONVSN is displayed if the invoice was allocated prior to conversion to SYSPRO 6.1.

Inserting Application Help

You would typically follow this procedure to display help for the current program in a customized pane that can be pinned to the program window.

Information includes step-by-step instructions for the various functions available within the program, including a brief overview of what the program does, what setup options are required and how to personalize the program.

  1. Open the program for which you want to insert application help into a customized pane.

    This functionality is only available for a program that has panes.

  2. Right-click any form field.

    You can also click the triangle menu icon that appears in the title area of a pane.

  3. Select Insert Application Help from the context-sensitive menu.

    The application help appears in a pane within your program. You can reposition the pane using the docking stickers or pin it to the program window.

Removing the Application Help pane

If you no longer want to display application help in a pane for your current program, you can simply remove it.

  1. Select the Close icon in the right-hand corner of the application help pane.

  2. Confirm that you want to delete the pane.
