Factory Documentation Format

You use this program to define the page layout for printing your factory documentation.

You use the Factory Documentation program to print your factory documents according to the formats configured here.

Factory Documentation Maintenance

Field Description
Document number

This indicates the document number for which you are defining the format.

Against each of the four document numbers you can define a total of 62 document formats.

Format

This indicates the format you are defining.

Up to 62 different formats can be defined for printing your factory documentation (i.e. formats A-Z, a-z and 0-9).

Print method
[Note]

If you change from a Word document to a Standard document format, you need to define print positions for the custom form fields you want to print on your document.

In a Word document, print positions for these fields are not required, but in the Standard document format they must be defined for the custom fields to print on the document.

Option Description
Standard document Select this to define a document format for quotations using pre-printed stationery.
SRS document

Select this to print your documents using SYSPRO Reporting Services (see SYSPRO Reporting Services).

This enables you to design the document using SYSPRO Reporting Services.

You can only print single offers for Quotations if you select this option.

Word document Select this to print your quotation documents using pre-defined MS Word templates.

Refer to Microsoft Word Printing for additional information on printing using MS Word.

Format description This indicates the description you want to assign to the format, to assist you in identifying it.
General  
Format options

These are the sections of the document you can maintain. You select one of the options and then use the Change function to define the preferences and page layouts for your document.

The options available change depending on the Print method you select to configure.

Change Select this to maintain the Format option currently highlighted.
Reprint Message Select this to enter the print position for a 10 character reprint message in the heading section of the factory document.
End of Op. Message Select this to enter the print position for a 20 character message to print after all operations have been printed (assuming multiple lines were selected).
Multiple Bin Message Select this to enter the print position for a 20 character multiple bin message to print.
Lot Number Message Select this to enter the print position for a 20 character lot number message to print.
Serial Number Message Select this to enter the print position for a 20 character serial number message to print.
Copy Select this to copy the factory documentation format from another format or company.
Delete Select this to delete the document format currently displayed.
Save Select this to save any changes made to the format.
Alignment

Select this to print a document using test characters to verify that the print positions and fields you defined are correctly aligned on your stationery.

It is advisable to print the alignment to the printer on which you will be printing your documents.

Print Select this to print the stationery format information you defined and saved.

It is advisable to keep this report for disaster recovery purposes.

Close Select this to exit from the program.

If you made any changes to the format, then you are prompted to save or discard these changes.

Messages

The following messages can be printed on your factory documentation:

  • Reprint Message
  • End of Op. Message
  • Multiple Bin Message
  • Lot Number Message
  • Serial Number Message

The following options are available for defining the printing of the above messages:

Field Description
Row Enter the vertical position (i.e. top to bottom) at which you want to print the message.

This option is only enabled for the following messages:

  • Reprint message
  • End of operation message
Column Enter the horizontal position (i.e. left to right) at which you want to print the message.
Message Enter up to 10 characters to be the reprint message.
Close Select this to return to the previous screen.

Copy

You use the Copy function to copy the factory documentation format from another format or company.

Field Description
Company This indicates the company in which you are currently working.

You use the Change Company function to select a different company.

Copy from format This indicates the format from which you want to copy field row and column settings.

If this format is an SRS type document format, then the template is not copied.

A warning message is displayed indicating this. In addition, you are prompted to define the template at this point. If you select Yes, then the SRS Report Design program is displayed, requesting you to select a template from a sample or existing document template.

Change Company By default, a format is copied from the company you are currently working in. You use this option to select a different company.
Copy from company Indicate a valid company from which you want to copy the format.
OK Select this to accept the company you entered.
Cancel Select this to ignore any selections and to return to the previous screen.
OK Select this to copy the format indicated.
Cancel Select this to return to the previous screen.

Alignment

You use the Alignment function to print the selected factory document using test characters to verify that the fields you have defined are correctly aligned on your stationery.

Format Options

The Format options enable you to maintain each section of the document.

    This enables you to indicate where to print custom form information defined against the parent stock item.

    This enables you to indicate where to print custom form information defined against the parent stock item in the bill of Materials (Structures and Routings).

When you highlight a section for a Standard document format and select the Change function, the fields for which print positions can be defined are displayed.

The following options can be used to define/maintain the print positions for these fields:

Field Description
Clear Row/Column

Select this to set the row and column print positions for the highlighted field to zero, so that the field is not printed.

Text Fields Select this to enter the text to print and its specific position on each document.
Change Select this to maintain the row and column print positions for the highlighted field.
Close

Select this to close the current window and return to the previous window. You save the changes you made when exiting the program.

Text Fields

The Text Fields function enables you to enter up to 12 lines of text (15 characters per line) that you want to print at a specific position on each document.

The Row specification for any field cannot exceed 65 and the Column specification for any field cannot exceed 120.

Field Description
Clear text Select this to clear the text and print positions for the highlighted text field.
Change Select this maintain the highlighted text line.
Text Indicate the actual text that must be printed on the document.
Row

Indicate the vertical position (i.e. Top to bottom) at which you want to print the text entered in the Text field.

Column

Indicate the horizontal position (i.e. Left to right) at which you want to print the text entered in the Text field.

OK Select this to accept the information you entered for the text field.
Cancel Select this to ignore the information you entered for the text field and to return to the previous screen.
Close Select this to return to the previous screen.

Positions

You use the Change function from within each section to maintain the row and column print positions for the highlighted field in the section.

The Row specification for any field cannot exceed 65 and the Column specification for any field cannot exceed 120.

Positions

All measurements are based from the top left hand corner of the page.

For some fields, only the Row or only the Column may be available for you to indicate.

To assist you in positioning the fields correctly, you can use the Print Mask program to print a grid of the required columns and lines. Ensure that the layout mask is output to the printer on which you will be printing your documents.

Row

Indicate the vertical position (i.e. top to bottom) at which you want to print the highlighted field.

Column

Indicate the horizontal position (i.e. left to right) at which you want to print the highlighted field.

OK Select this to accept the print positions you entered.
Cancel Select this to ignore the print position you entered and to return to the previous screen.

Custom Field Positions

This screen is displayed when use the Change function to maintain the row and column print positions for the highlighted field from within a section for custom forms.

All measurements are based from the top left hand corner of the page.

For some fields, only the Row or only the Column may be available for you to define.

To assist you in positioning the fields correctly, select the Print Mask program to print a grid of the required columns and lines. Ensure that the layout mask is output to the printer on which you will be printing your documents.

Field Description
Field Indicate which custom form field to print.
Row

Indicate the vertical position (i.e. Top to bottom) at which you want to print the highlighted field.

The row specification for any field cannot exceed 65.

Column

Indicate the horizontal position (i.e. Left to right) at which you want to print the highlighted field.

The column specification for any field cannot exceed 120.

OK Select this to accept the print positions you entered.
Cancel Select this to ignore the print position you entered and to return to the previous screen.

Preferences

You use the Preferences function to specify the default page dimensions and print options for your factory documentation.

[Note]

When using MS Word printing, you can print multiple lots/bins/serials on a single line. If you define more than one of each, then you must define the column offset for each field required. These fields are then joined together and printed in the following tags in MS Word:

  • Lot number
  • Serial number
  • Bin
Field Description
Total number of lines on a page Indicate the total number of lines that can be printed on a page.

The total number of lines on a page cannot exceed 99.

Maximum number of text lines to print

Indicate the maximum number of text lines to print on the document. This is not per page, but for the entire document, and cannot exceed 60 lines.

The number of text lines printed on each page of the document depends on your entry at the field: Maximum text lines on each page.

[Note]

A carriage return in the notes is treated as one blank line.

Example: If you set the Maximum number of text lines to print at 30 and the Maximum text lines on each page to 10, then a maximum of 10 text lines are printed on each page of the document. If the total text exceeds 30 lines, the additional lines are not printed.

If you are printing your documentation using MS Word and you need to include large narrations in the document, then you can include static information such as the job number, the finished stock item description, etc in the header section of the template. The information in the header is automatically printed on each page. You can then place the narration lines in the body of the template.

Co-products start on line Indicate the starting line number for co-products.

This cannot exceed 65.

Co-products end on line Indicate the end line number for co-products.

This cannot exceed 65.

Material requisitions start on line Indicate the starting line number for material requisitions.

This cannot exceed 65.

Material requisitions end on line Indicate the end line number for material requisitions.

This cannot exceed 65.

Gap from one lot number to next

Indicate the number of characters between where the first character of the first lot number on the line prints, and the first character of the second lot number on the line prints.

For example, if your lot numbers are 7 characters long, then you need to set this field to at least 8 to get one space between each lot number. If you want 2 spaces between each lot number, then set this field to 9.

This option is only relevant if you selected to print more than one lot number on a single line. (See: Number of lot numbers across page option below).

Number of lot numbers across page

Indicate the number of lot numbers you want to print on a single line.

If you set this to 1, then each lot number is printed on a separate line. To save paper, you would most likely want to print more than one lot number on a single line.

If you set this field to 2 or more, then you need to specify the gap you require between the lot numbers on the line (i.e. the space you require between each lot number). This gap is specified in the: Gap from one lot number to next field above.

If this field is set to zero, then lot numbers are not printed on the document.

Gap from one multiple bin to next

Indicate the number of characters between where the first character of the first bin number on the line prints, and the first character of the second bin number on the line prints.

For example, if your bin numbers are 5 characters long, then you need to set this field to at least 6 to get one space between each bin number. If you want 2 spaces between each bin number, then set this field to 7.

This option is only relevant if you selected to print more than one bin number on a single line. (See: Number of multiple bins across page option below).

Number of multiple bins across page

Indicate the number of bin numbers you want to print on a single line.

If you set this to 1, then each bin number is printed on a separate line. To save paper, you would most likely want to print more than one bin number on a single line.

If you set this field to 2 or more, then you need to specify the gap you require between the bin numbers on the line (i.e. the space you require between each bin number). This gap is specified in the: Gap from one multiple bin to next field above.

[Note]

Bin numbers are not printed on the document if this field is set to zero.

Gap from one serial number to next

Indicate the number of characters between where the first character of the first serial number on the line prints, and the first character of the second serial number on the line prints.

For example, if your serial numbers are 10 characters long, then you need to set this field to at least 11 to get one space between each serial number. If you want 2 spaces between each serial number, then set this field to 12.

This option is only relevant if you selected to print more than one serial number on a single line. (See: Number of serial numbers across page option below).

Number of serial numbers across page

Indicate the number of serial numbers you want to print on a single line.

If you set this to 1, then each serial number is printed on a separate line. To save paper, you would most likely want to print more than one serial number on a single line.

If you set this field to 2 or more, then you need to specify the gap you require between the serial numbers on the line (i.e. the space you require between each serial number). This gap is specified in the: Gap from one serial number to next field above.

If this field is set to zero, then serial numbers are not printed on the document.

Maximum material narration lines to print Indicate the maximum number of material narration lines that can be printed on a page.

This cannot exceed 60.

[Note]

Up to 99 narration lines will be printed when you print your factory documentation using SRS document printing and you set this value to 60.

Operations start on line Indicate the starting line number for operations. This cannot exceed 65.
Operations end on line Indicate the end line number for operations.

This cannot exceed 65.

Maximum operation narration lines to print Indicate the maximum number of operation narration lines that can be printed on a page.

This cannot exceed 60.

[Note]

Up to 99 narration lines will be printed when you print your factory documentation using SRS document printing and you set this value to 60.

No. of '*' to represent one xx

Indicate the number of asterisks (*) required to represent the time unit of measure that you have defined (Bill of Materials Setup).

This field is used to represent the total amount of time required for an operation when producing a horizontal bar chart that can be printed for internal operations.

Parent reserved lots start on line Indicate the starting line number for printing parent reserved lot numbers.

This cannot exceed 65.

This is only available if you selected the preference: Print reserved lots and serials for parents.

Parent reserved lots end on line Indicate the end line number for printing parent reserved lot numbers.

This cannot exceed 65.

This is only available if you selected the preference: Print reserved lots and serials for parents.

Parent reserved serials start on line Indicate the starting line number for printing parent reserved serial numbers.

This cannot exceed 65.

This is only available if you selected the preference: Print reserved lots and serials for parents.

Parent reserved serials end on line Indicate the end line number for printing parent reserved serial numbers.

This cannot exceed 65.

This is only available if you selected the preference: Print reserved lots and serials for parents.

Highest start column Specify the column width across the page.
Print options If you select the option: Print using MS Word, then these options are not available. This is because in MS Word, all information defined in the Header is automatically repeated on each page.
Print date format

Indicate the format in which you want to print dates on your stationery.

This can be based on your system date format or a user defined date format (i.e. short date or long date). These formats are defined within the System Setup program.

Repeat text lines on each page

Select this to repeat all lines of text on subsequent pages whenever only part of the text is printed. If you do not select this option, then you can specify the maximum number of text lines to be printed on each page.

If your Print method is set to Word document, then this option is automatically selected and cannot be deselected.

Maximum text lines on each page

This indicates the maximum lines of text you want to print on each page of the document.

This field works together with your entry at the option: Maximum number of text lines to print.

An entry of zero here will result in narration lines being printed for as many lines as are available, based on your entry at the Maximum number of text lines to print field.

Print reserved lots and serials for components

Select this to print reserved lots and serials for components on your factory documentation.

This only applies if you selected to reserve lots and/or serials for components (Work in Progress Setup) and you reserved lots and/or serials against components for the job.

Print reserved lots and serials for parents

Select this to print reserved lots and serials for parent items on your factory documentation.

This only applies if you selected to reserve lots and/or serials for parent items (Work in Progress Setup) and you reserved lots and/or serials against the parent item of the job.

Format is 6.1 compatible This applies to stationery formats defined in the SYSPRO 6.1 SP1 version of the software and is enabled by default for stationery formats defined in that version.

When enabled, the document is printed in the format specified in the SYSPRO 6.1 SP1 version of the software providing no presentation lengths are changed against the Keys defined in the Setup Options program.

Number of decimals to print for time

Configure the number of decimals to print for time fields (i.e. unit scrap, startup, wait, run and teardown times).

Selecting to print to 2 decimal places does not affect the calculation of the total run time; the times are merely rounded to 2 or 4 decimal places for printing purposes.

Options Indicate additional preferences relating to the printing of material requisition and operation lines.
Bitmap Forms Specify bitmap images that you want to print on your documents when they are printed. This allows you to create your own pre-printed stationery for your documents.
Notepad

Specify the print position at which you want to print the contents of any Notepad text attached to a job.

This does not apply when printing dummy jobs.

Close Select this to return to the previous screen.

Options

You use the Options function to indicate additional preferences relating to the printing of material requisition and operation lines.

Multiple Select this to print multiple lines per page.
Single Select this to print a single material line per page.
Materials not required Select this if you do not want to print material lines.
Sequence materials by operation number Select this to group together all the materials required for a job according to the operation number.

If you select this option you will be unable to consolidate materials or print operation details; only the operation number is listed.

Although the operation number can always be listed against the material lines, you can only print the operation number at header level if you select the Skip to new page option.

This option is not available if your Print method is set to SRS document, as skipping lines invalidates the XML created by SRS.
Change of operation control
Field Description
Skip to new page Select this to start on a new page whenever the operation number changes. Selecting this option will enable you to print the operation number at header level.
Skip a number of lines Select this to skip lines (up to 9) whenever the operation number changes.
Number of lines to skip This indicates the number of lines that must be skipped whenever the operation number changes. A maximum of 9 lines can be skipped.
Consolidate materials Select this option to consolidate materials with the same stock code into one requisition print line.

Multiple Select this to print multiple lines per page.
Single Select this if you want to print a single line per page.
Operations not required Select this if you do not want to print operation lines.
Unit of measure for material allocation quantities

Indicate the unit of measure that must be used when printing quantities related to components on your factory documentation.

Units of measure are defined against each stock item (Stock Codes).

Stocking Select this to print the quantities for parent stock codes in the Stocking unit of measure.
Other Select this to print the quantities for parent stock codes in the Other unit of measure.
Alternate Select this to print the quantities for parent stock codes in the Alternate unit of measure.
Manufacturing Select this to print the quantities for parent stock codes in the Manufacturing unit of measure.
Job Select this to print the quantities for parent stock codes in the unit of measure defined against the material allocation.
Unit of measure for parent quantities

Indicate the unit of measure that must be used when printing quantities related to parent parts on your factory documentation.

Units of measure are defined against each stock item (Stock Codes).

Stocking Select this if you want the quantities for components to be printed in the Stocking unit of measure.
Other Select this to print the quantities for components in the Other unit of measure.
Alternate Select this to print the quantities for components in the Alternate unit of measure.
Manufacturing Select this to print the quantities for components in the Manufacturing unit of measure.
Job

Select this to print the quantities for components in the unit of measure defined against the job.

This option is only relevant to printing existing jobs. If you select to print dummy jobs with your preferences set to Job, then the program will assume the Stocking unit of measure.

Close Select this to return to the previous screen.

Bitmap Forms

You use the Bitmap Forms function to specify bitmap images that you want to print on your documents when they are printed. This allows you to create your own pre-printed stationery for your documents.

Field Description
Bitmap for printing Indicate the name of the bitmap that you want to associate with the printing of factory documents. The file must have a .BMP extension.
Bitmap width

Indicate the width of the bitmap image that you want to print on the document and the measurement factor to use (e.g. inches or millimeters).

The bitmap is scaled automatically according to the specifications entered, retaining the aspect ratio (i.e. width to height).

Close Select this to return to the previous screen.

Notepad Options

You use the Notepad function to specify the print position at which you want to print the contents of any Notepad text attached to a job.

This does not apply when printing dummy jobs.

Before first detail line Select this to print Notepad text defined against a job before the first detail line on the document.
After last detail line Select this to print Notepad text defined against a job after the last detail line on the document.
Print on separate page(s) Select this to print Notepad text defined against a job on a separate page.
Column to start print Indicate the horizontal (left to right) position on the document at which you want to begin printing the Notepad text.
Length of each note line Indicate the number of characters to print on each line of Notepad text.

This cannot exceed 60.

Close Select this to return to the previous screen.

Heading Section

In the Heading section you define the row and column at which you want to print each of the heading fields on your factory documents.

The row refers to the vertical (top to bottom) position on the document, while the column refers to the horizontal (left to right) position on the document.

Fields

The following table lists the fields you can print in the Heading Section of your document:

  • To print text lines (e.g. Inspection text, Dangerous goods text, etc.) you need to specify the Maximum number of text lines to print and the Maximum text lines on each page in the Preferences section of the document format.

  • Fields that can be printed as barcodes are denoted with the words (with attribute). Refer to Barcode Printing.

Finished warehouse

This prints the warehouse into which the parent stock item is to be received. This warehouse is defined in the W/h for stock code field of the Job Entry program.

Starting quantity This prints the operation parent start quantity (progressive scrap) in the unit of measure you selected to print.
Quantity to make

This prints the quantity to make for the parent part.

The quantity can be in either the stocking, alternate or other unit of measure depending on your selection at the Unit of measure for parent quantities option (see Options).

Customer code This prints the customer code captured against the job.
Customer name This prints the name of the customer whose code was entered in the previous field.
Customer purchase order

This prints the customer's purchase order number providing:

  • the job is linked directly to a sales order
  • a customer purchase order number was entered against the sales order

This field is not printed for sub jobs.

Master job This prints the job number of the master job, to which a sub job is attached.
Master job description This prints the description of the master job to which a sub job is attached.
Job This prints the job number.
Job (with attribute) This prints the job number as a bar code.
Job description This prints the description of the job.
Job tender date When printing dummy jobs, this prints the system date.
Job start date  
Job delivery date  
Job schedule start date This prints the scheduled start date for the job. This is only applicable to the Factory Scheduling module.
Job schedule start time This prints the scheduled start time for the job. This is only applicable to the Factory Scheduling module.
Job schedule end date This prints the scheduled end date for the job. This is only applicable to the Factory Scheduling module.
Job schedule end time This prints the scheduled end time for the job. This is only applicable to the Factory Scheduling module.

This prints the revision captured against the drawing office number.

This information is available only for parent codes which are ECC controlled and not for components.

Drawing register release

This prints the release captured against the drawing office number.

This information is available only for parent codes which are ECC controlled and not for components.

Operator This prints the code of the operator who created the factory document.
System date This prints the system date on which the document was printed.
System time This prints the system time at which the document was printed.

Sales order This prints the sales order number when a job is directly linked to a sales order.
Sales order line This prints the sales order line number for the job. This only applies when a job is directly linked to a sales order.

Mass This prints the mass defined against the parent stock code.
Job class description This prints the description for the job classification code.
Quantity manufactured This prints the quantity manufactured to date against the job.
Quantity outstanding This prints the quantity outstanding to date against the job.
User defined field 1 -5 These fields print the values in the User defined fields against the stock item (Stock Codes).

For non-stocked items, nothing is printed.

Alternate key 1 - 2 These fields print the values in the Alternate key 1 and Alternate key 2 fields defined against the stock item (Stock Codes).

For non-stocked items, nothing is printed.

Material Requirements Detail Section

In the Material requirementsdetail section you define the row and column at which you want to print details of the material requirements on the factory document.

The row refers to the vertical (top to bottom) position on the document, while the column refers to the horizontal (left to right) position on the document.

Fields

The following fields can be printed in the Material Requirements Detail Section of your document:

If you select to print material quantity in a unit of measure other than the stocking unit of measure, then the following fields are converted:

  • Total quantity required
  • Total qty required less scrap
  • Total quantity outstanding
  • Total quantity issued
  • Unit quantity required
  • Scrap quantity
  • Re-order quantity
  • On hand in warehouse
  • Available in warehouse

Fields that can be printed as barcodes are denoted with the words (with attribute). Refer to Barcode Printing.

Stock code This prints the code of the stock item which is used as a component in the job.
Revision This prints the revision number of the stock item, if it is ECC controlled.
Release This prints the release number of the stock item, if it is ECC controlled.
Stock code (with attribute) This prints the code of the stock item as a bar code.
Stock description This prints the description for the stock code.
Stock code long description This prints the long description defined against the stock code.
Total quantity required

This prints the quantity required for the component part.

The quantity can be in either the stocking, alternate or other unit of measure depending on your selection at the Unit of measure for material allocation quantities option (see Options).

Hierarchy heads & sections This prints the hierarchy heads/sections against materials for hierarchical jobs.
Wet weight percentage This prints the percentage of wet weight defined against the Bill of Materials for dummy jobs. The option: Batch bill of materials must be selected for the item (Stock Codes).
Parent quantity per This prints the parent quantity per for materials.
Unit quantity required Refer to Fixed Quantity Per Example for additional information.

Multiple Bin Section

As an alternative to printing your documents on pre-printed stationery, you can configure SYSPRO to allow you to print your stationery documents using Microsoft Word.

This option is only enabled if you selected the option: Print using MS Word. It enables you to open the applicable Word template and insert the fields that you want to print on your stationery.
