This program lets you record the results of a stock count performed on a selected range of inventory items.

A stock code is a number that uniquely identifies an inventory item that is bought or manufactured and which is typically stored in one or more warehouses.
All activity relating to the forecasting, purchasing, manufacturing, stocking and selling of a stocked item is tracked by means of the stock code.
A stock code can be linked to one or more lot numbers if the item is defined as lot traceable. If there is a warranty, the stock code can be defined as serialized and linked to one or more serial numbers.
Starting
You can restrict operator access to programs by assigning them to groups and applying access control against the group (configured using the Operator Groups program).
The following configuration options in Syspro may affect processing within this program or feature, including whether certain fields and options are accessible.
The Setup Options program lets you configure how Syspro behaves across all modules. These settings can affect processing within this program.

When you are using fixed bins in the warehouse, then the bin must exist before you can capture stock for the bin. You add fixed bins for a warehouse using the Warehouse Bins program (Program List > Inventory > Warehouse Management > Setup).
Solving
Once you have captured the counted quantities, you can view the differences between the original and counted quantities in these programs:
- Stock Take Tickets (if you used the Stock Take Tickets program)
- Stock Take Variance (if you used the Stock Take Forms program)
In a company where Use license plate numbers setup option is enabled, the Stock Take Capture process does not load program Stock Take Capture. Stock Take by License Plate Number will load instead.
Using
- Columns in a listview are sometimes hidden by default. You can reinstate them using the Field Chooser option from the context-sensitive menu (displayed by right-clicking a header column header in the listview). Select and drag the required column to a position in the listview header.

Fields on a pane are sometimes removed by default. You can reinstate them using the Field Selector option from the context-sensitive menu (displayed by right-clicking any field in the pane). Select and drag the required fields onto the pane.
The captions for fields are also sometimes hidden. You can select the Show Captions option from the context-sensitive menu to see a list of them. Click on the relevant caption to reinstate it to the form.
If the Show Captions option is grayed out, it means no captions are hidden for that form.
- Press Ctrl+F1 within a listview or form to view a complete list of functions available.

The NumTimesCaptured field in the InvStockTake table displays the number of times lots/serials were captured or imported per stock code/warehouse. This field is used for documentary purposes only and is limited to 2 characters, i.e. 99. You can capture lots/serials more than 99 times against a specific stock code/warehouse, but the NumTimesCaptured field value remains 99.
The value in the NumTimesCaptured field of the InvStockTakeLot table displays the actual number of times lots/serials were captured or imported per stock code/warehouse.

Select this if you prefer the program to replace any previously counted quantity for an item, with the new quantity counted. If you are using ticket numbers, and you want to recapture a counted quantity (i.e. you have done a second count of an item) then you must enter the original ticket number for the second and subsequent counts to replace the previously counted quantity. If you use a different ticket number, then the quantity you enter is added to the quantity already captured. |

| Apply reference | Select this to use the comment entered in the Capture reference field as the reference for the stock take capture transactions. If you this preference is selected, you are required to enter a reference in the Capture reference field. |

This lets you indicate the default unit of measure in which you want to count stock items. The units of measure are defined against the stock item. Stock quantities are stored in the stock take capture file in the captured unit of measure. Serialized or traceable items can be captured in a unit of measure other than stocked. The captured quantity is stored in the unit of measure being used, which is converted back to the stocking unit of measure at the time of confirming details of the stock take capture process using the Stock Take Confirmation program. All stock take reports that include the unit of measure as a selection criterion, will print the stocking unit of measure regardless of the selection made at this field. |

When you select this option, the details of the quantities currently captured for the stock take are displayed in a separate listview pane. The information in this listview is updated each time you select the Post option. Therefore, if you are capturing the count quantities for a large number of items, you may want to deselect this option (to close the listview pane) to speed up the capture process. |

If you enter a bin location that is not held on file, you can indicate that the bin must be created (if the Create bins at inventory transaction setup option is enabled). The bin is created when you confirm the stock take using the Stock Take Confirmation program. If this setup option isn't enabled, then you must either enter an existing bin or use the Inventory Bin Maintenance program to create a new bin. For example:

This lets you indicate the ticket number applicable to the selected stock code or bin in this stock take. This field is only enabled when the Capture ticket numbers option on the Stock Take Capture window is enabled. |

This reference is printed on the Inventory Journal Report and can be viewed in transaction queries for serial and lot numbers. This field defaults to the text you entered at the Reference field of the Stock Take Capture pane. |

This indicates the unit of measure in which you are capturing details of the stock count for the item. The alternate unit of measure can be selected here if one is configured against the stock item. This field is unavailable if the stock code is defined as traceable or serialized, as the unit of measure defaults to the stocking unit of measure. |

| Capturing method |
This defaults to your selection on the Stock Take Capture pane, but can be changed. This lets you add the quantity entered in the Quantity field to any count quantity previously captured for the item. This lets you replace any count quantity previously captured for the item with the quantity entered in the Quantity field. |

This lets you enter the revision number for the stock item to which the quantity entered in the Quantity field refers. This field is only enabled if the item is defined as ECC controlled. |
| Release |
This lets you enter the release number for the stock item to which the quantity entered in the Quantity field refers. This field is only enabled if the item is defined as ECC controlled. |
| Lot |
This lets you indicate the lot number of the item for which you are capturing stock count details. If you enter a lot number that is not held on file, then you will be able to indicate that the lot must be created, together with an expiry date. The lot will be created once you have confirmed the stock take using the Stock Take Confirmation program. If the Use same lot on multiple stock codes setup option is enabled, you can reuse the same lot number for different stock codes. Use the Browse on Lots program to create lot records as well as view and change details for existing lots. |

This lets you indicate the serial number of the item for which you are capturing stock count details. If you enter a serial number that is not held on file, then you will be able to indicate that the serial must be created. Use the Capture manual serial numbers option to update the count quantities of manually serialized items. Use the Browse on Serial Numbers program to change header information for serialized items that are held on file as well as view and change details for existing serials. |

This lets you view and update quantities for multiple serial numbers. This option is only enabled for stock codes defined as manual serialized items and enables you to indicate several serial numbers that must be updated. If the stock item is both traceable and serialized, then the program only displays serial numbers for the lot number entered. |

Therefore, if you are capturing the count quantities for a large number of items, you may want to close the listview pane to speed up the capture process.

This screen is displayed when you select the Capture manual serial numbers option, which enables you to view and update multiple serial numbers.
This option is only enabled for stock codes defined as manual serialized items and enables you to indicate several serial numbers that must be updated.
If the stock item is both traceable and serialized, then only the serial numbers for the lot number entered are displayed.

| Capture manual serial numbers |
This lets you view and update quantities for multiple serial numbers. This option is only enabled for stock codes defined as manual serialized items and enables you to indicate several serial numbers that must be updated. If the stock item is both traceable and serialized, then the program only displays serial numbers for the lot number entered. |

Select this to view the captured quantities for lot numbers. This option is enabled only if the stock item is defined as a traceable item. |

Select this to view all captured quantities of serial numbers for the warehouse/stock code combination. This option is enabled only if the stock item is defined as a serialized item. |
| View captured Revision/Release | Select this to view all captured quantities of ECC controlled items for the warehouse/stock code combination. |
The details of the quantities currently captured for the stock take are displayed in this listview.
The information in this listview is updated each time you select the Post option.
Therefore, if you are capturing the count quantities for a large number of items, you may want to close the listview pane to speed up the capture process.
