Sales Order Pick Allocation Override

This program lets you override the stock item that was originally allocated to the pick.

This is typically done when the picker can't locate the stock that was allocated to the pick line and wants to replace it with alternative stock that is available, or when stock items with an earlier expiry date are found.

This program can't be run standalone and is accessed from the following program(s):

  • Pick Maintenance

    From the Edit hyperlink at the Override Allocation column within the Pick Detail Lines listview.

This is the process of finding and extracting products from a warehouse bin to fulfill customer sales orders.

This is a report that details the items required for picking and where to locate them.

A picking slip can only be printed once a pick has been created. Thereafter, you can print the pick slip at any time until it is complete.

This is a bin transfer movement type that applies when you complete a pick. The quantity picked is transferred from the sales order bin to the destination bin.

For Order Picking, the destination bin of the generated pick can be selected within the SO Picking Options program.

This is the warehouse optionally configured to store variances arising during picking or cycle counting.

The quantity that is short is moved to the lost and found warehouse at the time the pick line or entire pick is completed and set to C - Picked.

Items can be retrieved from the L&F warehouse during cycle counting using the Lost and Found Warehouse Review program.

The lost and found warehouse is only enabled if a warehouse is defined at the Lost and found warehouse setup option and Process to lost and found warehouse is selected at the Accounting for shortages option (Warehouse Maintenance) .

You can restrict operator access to programs by assigning them to groups and applying access control against the group (configured using the Operator Groups program).

The following configuration options in SYSPRO may affect processing within this program or feature, including whether certain fields and options are accessible.

The Setup Options program lets you configure how SYSPRO behaves across all modules. These settings can affect processing within this program.

Solving

You can override the bin, lot or serial that was allocated to the pick using the SYSPRO Desktop version as well as SYSPRO Espresso.

  1. Launch the Pick Maintenance program.

  2. At the Pick field, enter or select the pick for which you want to change the stock allocation.

    The selected pick's details and pick lines are displayed.

  3. Select the Edit hyperlink at the Override allocation column in the Pick Detail Lineslistview.

    The Edit hyperlink is only available (i.e. you can only allocate different stock to the pick) if the status of the pick line is O - Outstanding and the Pick allocation override setup option is enabled against the warehouse.

    You can select the status to change the status of the pick line.

    The Sales Order Pick Allocation Override program is displayed.

    1. Enter the bin, lot or serial and if required, the quantity.

    2. Select the Add to list option.

    3. Select Yes at the pop-up message that prompts you to confirm if you want to accept the allocations.

      You can only save the allocation once you have allocated the same stock quantity that was allocated before.

      You are returned to the Pick Maintenance program.

  4. Exit the Pick Maintenance program.

Use the Pick Amendment Journal program to generate a report of all pick lines where the original stock allocation was overridden.

  1. Launch the Missions & Tasks or the Order Picking application.

  2. At the Pick field, enter or select the pick for which you want to change the stock allocation.

    The selected pick's details and pick lines are displayed.

  3. Edit the pick line for which you want to change the stock allocation.

  4. Select the Override allocations option.

    The Override allocations option is only available (i.e. you can only allocate different stock to the pick) if the status of the pick line is O - Outstanding and the Pick allocation override setup option is enabled against the warehouse.

    Select the Change line status option to change the status of the pick line.

    The Override Pick Allocations application is displayed.

    1. Enter the bin, lot or serial and if required, the quantity.

    2. Select the Add line option.

      The allocation detail line is added to the grid. You can select the Edit option to edit the line.

    3. Once you have allocated the same stock quantity, you can select the Save line option.

      You are returned to the Missions & Tasks or Order Picking application.

Once a pick is completed, you can't change the order quantity or dispatch quantity or the quantity linked to the order or dispatch line. You also can't cancel the sales order or sales order line once the pick has been completed, nor change the quantity on the dispatch note.

If you need to reduce the quantity you want to dispatch after the pick has been completed, you have two options:

  • Either continue to invoice the customer for the picked quantity and then process a credit note, or

  • Invoice the dispatch note and then create a credit note.

Using

  • Columns in a listview are sometimes hidden by default. You can reinstate them using the Field Chooser option from the context-sensitive menu (displayed by right-clicking a header column header in the listview). Select and drag the required column to a position in the listview header.

  • Fields on a pane are sometimes removed by default. You can reinstate them using the Field Selector option from the context-sensitive menu (displayed by right-clicking any field in the pane). Select and drag the required fields onto the pane.

    The captions for fields are also sometimes hidden. You can select the Show Captions option from the context-sensitive menu to see a list of them. Click on the relevant caption to reinstate it to the form.

    If the Show Captions option is grayed out, it means no captions are hidden for that form.

  • Press Ctrl+F1 within a listview or form to view a complete list of functions available.

Sales order pick statuses are mainly used in the Warehouse Management System.

The following indicates the possible status codes for a sales order pick:

Status Description
S - Started

This indicates that the sales order pick has started.

It is applied to the pick header and detail lines when you start the picking process.
O - Outstanding

This indicates that the picking process is still required.

This status is applied to the pick header and detail lines once a sales order is ended, if the pick is created in one of the following programs:

  • Sales Order Entry
  • Sales Order Entry Express
  • Back Order Release
C - Picked This applies to the pick header and detail lines and indicates that the sales order pick process is complete.

X - Cancelled

This status is applied to the pick header when the sales order pick is canceled.

F - Confirming

This indicates that the picked items have been sent to the relevant warehouse area where they are in the process of being confirmed.

This status is applied to the pick header and detail lines once the lines have been picked and the pick is sent for confirmation.

M - Marshalling

This indicates that the picked items have been sent to the relevant warehouse area where they are in the process of being marshalled.

This status is applied to the pick header and detail lines once the lines have been picked and the pick is sent for marshalling, or if the pick confirmation has been completed (if the Pick confirmation setup option is enabled against the warehouse).

Referencing

This saves your changes and exits the program.

This adds the allocation details to the List of Captured Details listview.

Bin

This lets you select the bin from which you are issuing stock for the pick line.

Lot

This lets you indicate the lot number for the stock you are allocating to the pick line.

Serial number

This lets you indicate the serial number for the stock you are allocating to the pick line.

Quantity

This lets you indicate the stock quantity you are allocating.

The quantity may be less, but not more than the original quantity.

Current allocation information

This section displays the details of the original stock allocation.

Previously allocated

This indicates the stock quantity that was allocated to the pick line.

Warehouse

This indicates the warehouse in which the stock that was allocated to the pick line is held, picked and packed.

Stock code

This indicates the stock code of the item that was allocated to the pick line.

Stock code description

This indicates the description of the stock code.

Pick

This indicates the pick number of the pick that you are maintaining.

Pick line

This indicates the pick line for which you are overriding the stock allocation.

This lets you change details for the currently highlighted record.

This deletes the highlighted data record.

Field Description

Bin

This indicates the bin from which the stock will be picked.

Lot

This indicates the lot number of the stock item allocated to the pick line.

Serial

This indicates the serial number of the stock item allocated to the pick line.

Quantity

This indicates the stock quantity that will be issued from the bin, lot or serial.
