Requisition Query

You use this program to view detailed purchase order requisition information.

A typical use of this program would be to track the status of a requisition, typically in response to a query from an internal staff member.

Requisitions can be queried by requisition number or by requisition user code.

This program can be run at any time. There are no dependencies between this program and any other program.

If you are new to this query, then the following information will help you achieve the best results:

  • The information shown is always up to date (i.e. the query will reflect the latest information for requisitions that have been captured or maintained).
  • If you know the requisition number, then you can enter it directly and press the Tab or Enter key to view the information. Alternatively, you can query requisitions by requisition user.

    If you do not know the requisition number, then you can use the browse icon to locate the requisition.

  • You can personalize this query in a number of ways. These include:

    • setting preferences that affect what information is displayed. These settings can be retained for future use
    • configuring property sheets (e.g. the section headed Requisition Header). This includes being able to sequence items by dragging them up or down, to show important items first
    • configuring the Detail Lines list view. This includes being able to sequence columns by dragging them left or right, sorting columns and changing column widths
    • configuring the layout of the panes on the screen, including hiding or displaying panes

Requisition Query

This exits the program.

Sequence  
By Requisition Select this to query requisition information by entering a requisition number in the Requisition field.
By User Select this to query requisition information by entering the requisition user who originated the requisition in the User field.
Requisition Enter the requisition number you want to query.

You can use the Browse icon to use the PO Browse on Requisition Header program to select a requisition number.

If you selected the By User option from the Sequence menu, then you can only enter requisition numbers originated by the requisition user you entered in the User field.

User

Enter the requisition user for whom you want to view requisitions in the query.

Only those requisitions originated by the selected requisition user can be viewed.

You can use the Browse icon to use the Browse on Requisition Users program to select a requisition user.

This field is only enabled when you select the option: By Userfrom the Sequence menu.

Detail Line Options

This pane is displayed when you select the Requisition Options pane using the Gears function.

This pane lets you select which requisitions you want to view based on the requisition status.

Field Description
Restore Defaults

This restores the default selections.

Select All Select this to display requisitions in all statuses in the query.
Deselect All Deselect all requisition statuses. You would typically use this function if you wanted to then select only a few requisition statuses to view.
Autoload Values

This lets you save default selections for the user or on company level.

Save Preferences Save these preferences against your operator code and use them for future runs of the program until next you change them.

Requisition Header

You select the Requisition Custom Fields option from the Field Selector to use the Custom Forms Entry program to maintain custom form information for the requisition header.

Field Description
Requisition This indicates the requisition number.
Requisition status This indicates the current status of the requisition header and is updated when you maintain a requisition.
Originator This indicates the requisition user code of the person who originated the requisition.
Date created This indicates the date on which the requisition was created.
Total value This indicates the total value of the requisition, net of discount and including taxes.
Next line number This indicates the next line number to use if you were to add a line to the requisition.
Document format This indicates the document format used to print the requisition. Document formats are maintained using the Purchase Order Format program.

Originator Information

This pane displays information relating to the requisition user who originated the requisition. Most of this information will have been entered using the Browse on Requisition Users program.

Field Description
Requisition user
  • Name

    This indicates the name of the originator who originated the requisition.

  • User e-mail address

    This indicates the email address of the originator of the requisition.

  • Requisition group

    This indicates the requisition group to which the requisition user belongs.

Authority level

This indicates the authority level of the originator.

  • Add detailed info

    This indicates whether the requisition user may add detailed information to the requisition.

  • Change detailed info

    This indicates whether the requisition user may change the requisition detail.

  • Approve requisition

    This indicates whether the requisition user approve requisitions.

  • Create RFQ

    This indicates whether the requisition user has permission to create a request for quote (RFQ).

  • Create p/orders

    This indicates whether the requisition user may create purchase orders from the requisition.

Options
  • Allowed to review s/orders

    This indicates whether the requisition user has access to the Back Order Review program and can create requisitions from within that program.

  • Authorized warehouse

    This indicates the single warehouse for which the originator is authorized to order goods from.

    If this field is blank, then the originator is not restricted to a single warehouse.

Requisition maximum value
  • Maximum line value

    This indicates the maximum value that the originator can enter per requisition line.

    This is only displayed if you selected Line level at the Check maximum value at option (Purchase Orders Setup).

  • Auto approve line value

    This indicates the maximum value for which a requisition line can be automatically approved.

  • Maximum requisition value

    This indicates the maximum value that the originator can enter per requisition.

    This is only displayed if you selected Requisition level at the Check maximum value at option (Purchase Orders Setup).

Routing information
  • Next user for routing

    This indicates the next requisition user who is to receive this user's requisitions.

    If this field is blank, then it indicates that a default user to route requisitions to has not been specified.

  • User to route to for RFQ creation

    This indicates the requisition user to whom the requisition must be routed when creating a purchase order from the request for quote (RFQ).

  • User to route to for P/order creation

    This indicates the requisition user to whom the requisition must be routed to create the Purchase Order.

Header Custom Form

This pane displays details of any custom form data that has been assigned to the requisition header (see Custom Forms Entry).

Field Description
Custom Form Data Entry Select this from the dropdown in the pane header to use the Custom Form Data Entry program to enter custom form data against the requisition header.

Detail Lines

Most of the information displayed in this list view will have been entered using the Requisition Entry and Requisition Entry Maintenance programs.

Column Description
Requisition line

This indicates the requisition line number.

When you highlight a line number, additional information relating to that line is displayed in the Requisition Line information pane.

Requisition user This indicates the requisition user code of the person who originated the requisition.
Stock code This indicates the stock code on the requisition line.
Long description

This field indicates the default stock code description, if a valid stock code was entered.

For non-stocked items, the description is entered manually.

Order quantity This indicates the order quantity for the line.
Uom This indicates the unit of measure for the order quantity.
Due date This indicates the date on which the items are required.
Holder This indicates the requisition user who is currently holding the requisition line.
Supplier This indicates the supplier entered against the requisition line.
Price This indicates the unit price of the item.
Price uom This indicates the unit of measure for the price.
Customer This indicates the customer for whom the requisition line was originated.
Customer purchase order This indicates the customer's purchase order number.
Catalogue This indicates the supplier's catalogue number or stock code reference.
Tax code This indicates the tax code applicable to the requisition line.
Buyer This indicates the buyer responsible for purchasing the goods on the purchase order created from the requisition.
Product class This indicates the product class relevant to the item.
Inspection This indicates whether the item must be receipted into inspection when it arrives.
Warehouse This indicates the warehouse for which the item is being requisitioned.
Capex This indicates the capex number relevant to the item.
Job This indicates the job number if the requisition line relates to a Work in Progress job.
Sub contract op This indicates the sub-contract operation for the item. This only applies if the requisition line is for a non-stocked item and the item relates to a Work in Progress job.
Ledger code This indicates the General Ledger code for a non-stocked item.
Discount This indicates the discount method applicable to the requisition line.
Discount code This indicates the discount code applicable to the requisition line.
Requisition This indicates the requisition number to which the requisition line belongs.
Status This indicates the status of the requisition.
Reason This indicates the reason entered against the requisition line.
Purchase order This indicates the purchase order number created for the requisition line.
P/order line This indicates the purchase order line on the purchase order created for the requisition line.
Asset capex

This indicates the capex item to which the capex requisition line is linked.

This is only displayed if the purchase order requisition was raised from the Asset Capex Items program for a capex requisition line.

Asset capex line This indicates the capex requisition line number for which the purchase order requisition was raised.
Description This displays the description for the stock item being requisitioned.
Status date Indicates the date on which the status was changed, together with the status to which it was changed.
Sales order

This indicates the sales order linked to the requisition, where applicable. Note that only one sales order can be stored against the requisition.

Note that only one sales order can be stored against a requisition. This means that if you create a requisition from a sales order, then that sales order number is stored against the requisition. However, if that requisition is a Transfer requisition, then an SCT sales order number is created and then the SCT sales order number is saved against the requisition.

RFQ reference

This indicates the reference of the request for quote (RFQ), if quotations were requested from suppliers.

Requisition Line Information

The information displayed in this pane relates to the currently highlighted requisition line in the Detail Lines list view.

Column Description
Stock code This indicates the item for which the requisition was raised.
Requisition type

This indicates whether the line is a normal or a stores requisition type.

A normal requisition is one from which a purchase order will be created.

A store requisition can be an Issue or a Transfer, for which no purchase order is raised. The items are transferred directly from one of your warehouses.

Stores warehouse

The stores warehouse applies to Issue and Transfer type requisitions only.

For Issues, this is the warehouse into which the item must be issued.

For Transfers, this is the source warehouse from which the item will be transferred.

Include item in MRP Indicates whether the line item is included in the Material Requirements Planning calculation.
Routing You use this option to view routing information for the currently highlighted requisition line (see Requisition Routing Details).
Notepad Select this to display notes added to the requisition line using the Notes - Notepad option in the Requisition Entry Maintenance program and to add rich format text to the currently highlighted requisition line (see Admin Notepad Editor (Rich Text)).
Originator This displays information about the operator who created the requisition:
Capex
  • Authorizing user

    This indicates the operator who authorized the requisition.

Purchase order comments This field uses the Admin Notepad Editor (Monospaced Text) program to display notes currently attached to the purchase order created from the requisition.
Requisition notes This field uses the Admin Notepad Editor (Monospaced Text) program to display notes currently attached to the requisition line.
Asset capex details

This information is only displayed if the purchase order requisition was raised from the Asset Capex Items program for a capex requisition line.

  • Asset capex

    This indicates the capex item to which the capex requisition line is linked.

  • Asset capex line

    This indicates the capex requisition line number for which the purchase order requisition was raised.

Multimedia
  • Edit Multimedia

    Select this to use the Multimedia program to maintain multimedia objects for the requisition.

  • Play Multimedia

    Select this to view any multimedia objects defined against the requisition.

Detail Line Custom Form

This pane displays details of any custom form data that has been assigned to the requisition detail line (see Custom Forms Entry).

Field Description
Custom Form Data Entry Select this from the dropdown in the pane header to use the Custom Form Data Entry program to enter custom form data against the requisition detail line.

  • You can only view requisition detail lines for the warehouses to which you have been granted access (Operators - Security tab - Warehouses).
