This program lets you capture and maintain product recalls.

Things you can do in this program include:

  • Create a full product recall.
  • Create a mock product recall.
  • Quarantine stock items.
  • Release stock items from hold.
  • Scrap stock items.

  • This program is accessed from the Program List pane of the SYSPRO menu:

    Program List > Lot Traceability > Product Recall > Transaction Processing

This occurs when there are safety concerns over an item (or manufacturing defect in a product) that may be harmful to the consumer. This results in one or more products having to be withdrawn from the market.

SYSPRO's Lot Traceability system is used to identify all items and transactions involved in the recall. Items are placed into quarantine for inspection.

Contaminated or sub-standard stock items are scrapped, while unspoiled or undamaged items are released from quarantine.

A mock recall is an exercise that involves imitating all procedures for an actual product recall. In SYSPRO, this tests the traceability of products and verifies that the recall process is effective and can be carried out within the required time limit.

Products involved in a mock recall aren't actually put on hold (i.e. transactions such as invoicing and generating delivery notes can still be processed against them).

Mock product recall data is stored for compliance reasons and traceability audits.

During a product recall, stock items which are spoiled, hazardous or of inferior quality are isolated and placed into quarantine. This can be done at serial, lot, bin or stock code level.

A quarantined stock item can't be invoiced, distributed, delivered or allocated to a job or any stock movement. Once inspection of the item is complete, it can be released back into stock (if it's usable) or scrapped.

Recall Management

Starting

You can restrict operator access to programs by assigning them to groups and applying access control against the group (configured using the Operator Groups program).

  • When actual costing is enabled, automatic depletion is done for the FIFO buckets (costing by serial).

  • For ECC-controlled items, the current revision and release is used

Solving

You have entered a quantity that exceeds the quantity available in the warehouse.

Ensure that you enter the correct quantity you want to inspect, scrap or release.

You haven't entered a quantity to inspect, scrap or release.

Enter the quantity you want to inspect, scrap or release.

  1. Open the Product Recall Quarantine program Program List > Lot Traceability > Product Recall > Transaction Processing.

  2. Select the New Product Recall function and enter details at the Product recall field.

  3. Indicate the type of recall (i.e. full or mock) you want to capture.

  4. Use the Selection List to select the stock items you want to include in the product recall.

  5. Select the stock items from the Selection List to change their status.

    You must save the product recall every time you update the status of stock items.
  6. From the Default Options pane, add reasons for quarantining, releasing or scrapping the stock items.
  7. Select the Recall Complete field to mark the product recall as done.

The changes are then applied and displayed in the Selection List pane.

Using

  • Columns in a list view are sometimes hidden by default. You can reinstate them using the Field Chooser option from the context-sensitive menu (displayed by right-clicking a header column header in the list view). Select and drag the required column to a position in the list view header.
  • Press Ctrl+F1 within a list view or form to view a complete list of functions available.

This lets you enter a description for the product recall.

Recall Type

Full

This indicates a real product recall that updates all relevant tables on the database, writes financial transactions and puts stock items on hold.

Mock

This indicates a dummy product recall that updates the recall tables on the database, but does not write financial transactions or place stock items on hold.

Recall Complete

This lets you mark a product recall as complete.
Field Description

Selections

This lets you access the Product Recall Selections Review program to select the stock items you want to include in the product recall.

Include All

This lets you include all listed data records in your selection.

Exclude All

This lets you exclude all listed data records in your selection.

Quarantine

This lets you change the status of the selected data records to Quarantine (i.e. the stock items are included in a product recall).

For full product recalls, stock items are placed on hold and can't be included in a sales order, job or any stock movement.

Inspect

This lets you change the status of the selected data records to Inspect.

This means that the stock items remain isolated for inspection purposes. For full product recalls, stock items are placed on hold and can't be included in a sales order, job or any stock movement.

Scrap

This lets you change the status of the selected data records to Scrap.

This means that the stock items have been declared unsafe for use and will be discarded.

For full product recalls, the stock items are removed from the warehouse and financial transactions are generated.

Release

This lets you change the status of the selected data records to Release. This means that the stock items have been declared safe to use.

For full product recalls, the stock items are released into the warehouse and can be selected on sales orders, jobs or stock movements.
Field Description

Selected

Tick this box to select the data record.

Stock code

This indicates the stock item you have selected.

Description

This is the description of the stock item you have selected.

Warehouse

This indicates the warehouse in which the stock item is located.

Bin

This indicates the bin in which the stock item resides.

Lot

This is the lot number of the stock item.

Serial

This is the serial number of the stock item.

Hold level

This indicates the level at which the hold must be applied to the item (i.e. warehouse, stock code, bin or lot).
Status

This indicates the current status of the stock item.
Planned status

This indicates the next status of the stock item when saved (i.e. scrap, inspect, release or quarantine).
Inspection quantity

This indicates the number of stock items that will be inspected.

If you select Inspect at the Planned status field, then at the Inspection quantity field, you must enter the number of stock items you will be inspecting.
Lots / Bins / Serials This indicates the stock item's lot, bin or serial number.
Scrap quantity

This indicates the number of stock items that will be scrapped.

If you select Scrap at the Planned status field, then at the Scrap quantity field, you will need to enter the number of stock items you will be scrapping.
Error message All error or warning messages are displayed here.
